If you're the person in HR or admin holding the guest list, annual dinner transport is the job that goes wrong quietly. The chairman stuck on the Federal Highway at 7.25 pm for a 7.30 pm entrance. A manager who drove himself and then stayed for the toasts. Neither shows up on the seating plan, and both are easy to prevent with a list and a few bookings made early.
One limit first. Grandpride's biggest cars seat seven. If you need to move 200 staff from the office to the hotel, hire a bus company for that. Use chauffeured cars for the people and the moments where one car matters: the guests of honour on the way in, and the people who shouldn't drive on the way out.
The checklist
- Split the guest list into three groups. The VIPs and guests of honour who arrive by car. The staff who'll need getting home. Anyone flying in on the day.
- Pick the VIP car. For a chairman or a guest speaker, a long-wheelbase Mercedes-Benz S-Class is RM 300 an hour with a chauffeur, the BMW i7 RM 600 and the Bentley Bentayga Mansory RM 800. For a red-carpet arrival, Grandpride's GrandRide Limousine comes in white or black. Our comparison of chauffeur cars covers the differences in the back seat.
- Book it in the guest's name. Choose "Booking for someone else" and add the passenger's name and mobile number; the chauffeur contacts them directly on the day. You stay the booker and the one who pays.
- Time it backwards from the door. Work out when the VIP has to walk in, then add the drive and a margin for Friday-evening traffic. Our guide to KL traffic by time of day helps with the margin.
- Decide whether cars wait or come back. Booked by the hour (3 to 23 hours), the car and chauffeur stay with your guest all evening, so nobody hunts for a ride after the lucky draw. Anything over 12 hours is 10% off.
- Budget for evening rates. Hours that start between 7 pm and 11 pm are charged at +30%, and from 11 pm to 7 am at +50%. Each hour is charged at the rate for the time it starts, so most of a 6.30 pm to 11.30 pm booking falls at the evening rate. The quote shows the split and the total before you book.
- Plan the rides home. Grandpride's Drink Don't Drive service is built for exactly this: chauffeurs who take guests home when the party ends. Group the guests by area, PJ in one car, Cheras in another, and use seven-seaters. A Toyota Vellfire is RM 150 an hour, an Alphard RM 200 and a Lexus LM300h RM 770, each with seven seats.
- Offer senior people a driver for their own car. Some will want to arrive in their own car and leave in it. Grandpride's driver service puts a driver behind their wheel for RM 385 for an eight-hour day, with overtime at RM 40 an hour and RM 50 an hour after midnight.
- Meet anyone flying in. KLIA and KLIA2 runs are a flat fare, the same day or night, for trips under 80 km, so a guest landing at 4 pm can go straight to the hotel. Add the flight number and the chauffeur tracks it; ask for a nameboard at arrivals. Our KLIA meet and greet guide explains how the pick-up works.
- Think about security. If a guest of honour is high profile, a driver cum bodyguard is RM 495 for an eight-hour day. See our guide to close protection for executives before deciding.
- Book early. Online chauffeur bookings need at least two days' notice. For several cars on one night, send the whole list on WhatsApp to +6010 322 3223 CHECK: can several chauffeur cars for one event be booked and paid as one order?.
- Make one car sheet. On the night, one person on your team holds a sheet with every car, its passenger, its chauffeur's name and number, and its pick-up time. When the MC runs late, that person moves the cars.
A few more answers
Can Grandpride move all our staff?
Not in bulk. The largest cars seat seven. Use Grandpride for the VIP cars, airport pick-ups and late rides home, and a bus operator to move a whole office at once.
Do the chauffeurs wait through dinner?
Yes. A car booked by the hour is yours for those hours, parked and ready, including through the speeches.
How does the company pay?
Only a RM 50 booking fee is paid online, and it comes off the total. You reserve, then pay the rest in store or in person. CHECK: does Grandpride issue company invoices or offer credit terms for corporate bookings?
Can we book the same cars every year?
Some companies already use Grandpride as their long-term rental provider for management teams and events, and our guide to corporate car rental and chauffeurs covers ongoing arrangements. CHECK: is there a corporate account or rate for repeat event bookings?
