Planning a wedding convoy: a checklist

Updated · By the Grandpride team, Petaling Jaya

Draft, not public. 4 questions for Grandpride to answer before this is published, highlighted below.

Mercedes-Benz 300SL

A wedding convoy is the line of cars that moves the couple, both families and the bridal party from one part of the day to the next: the house, the ceremony, the photos, the dinner. Planning one is mostly counting and timing, and the mistakes are predictable: too few seats, nobody sure who's driving, and a convoy that falls apart at the first traffic light. Work through the list below a few weeks before the date.

Before the day

  1. Count people, then count seats. A seven-seat MPV such as the Toyota Vellfire or Alphard carries six passengers when one of your family drives it, because the driver takes a seat. With a Grandpride chauffeur, check how many passenger seats you get CHECK: on chauffeur MPVs, do the 7 listed seats include the chauffeur?. Gift trays, a photographer's bags and a gown all take space too, so leave one seat spare per car.
  1. Decide who drives every car, by name. On a self-drive rental only the named renter may drive, and additional drivers can't be added. Five self-drive cars means five named renters, each sober, each staying with their car all day. If that's hard to find, put chauffeurs in the important cars, or hire a Grandpride driver for a car the family already owns: RM 385 for an 8-hour day, RM 40 an hour after that, RM 50 an hour after midnight.
  1. Pick the cars for the jobs. The bridal car carries two people and a dress; the parents' car needs easy steps and space; the rest need seats. A classic at the head of the line, such as Grandpride's Mercedes-Benz 300SL at RM 2,200 a day, is listed as wedding only, so ask how it can be used before you build the convoy around it CHECK: does the 300SL come with a driver, set hours or a set route?; our classic car rental guide has the detail. Our wedding car rental guide compares the other bridal cars, and the MPV list shows which seven-seaters are free on your date.
  1. Fix the order. The car at the front sets the pace and must know the route, so don't put a nervous driver there. Put the bridal car near the front, where the photographer can see it. Choose one tail car whose job is to make sure nobody is left behind.
  1. Write the route down, with every address. Send it to every driver and every chauffeur. Chauffeurs on Grandpride's booking page take the full trip with as many stops as you need; if you book a car for someone else, such as the parents, the chauffeur contacts that passenger directly on the day.
  1. Pick a meeting point a few minutes short of each venue. Traffic lights will split the convoy; that's normal. Regroup at a petrol station or a quiet road before the last stretch, then arrive together.
  1. Plan the parking at each stop. Drop the couple and elders at the door first, then park the others. Keep one spot by the entrance for the bridal car, because that's where the arrival photos happen.
  1. Book early and check each car's calendar. Online chauffeur bookings need at least two days' notice. Several chauffeur cars for one wedding is a bigger request CHECK: can several chauffeur cars be booked together as one wedding convoy, with one contact person?.

On the road

  1. Know what a convoy is not allowed to do. A wedding convoy has no right of way. Police have said convoy marshals have no power to stop or divert traffic unless traffic police are with them, and that private vehicles must not use sirens or beacon lights, or stop in groups at junctions and roadsides. Every car stops at red lights, and nobody blocks a lane to keep the line together. The meeting point in step 6 is how you keep the convoy whole.
  1. Go at the speed of the slowest car. Decorated cars should stay well below highway speeds, and loose pieces should come off before any fast stretch. Our guide to wedding car decoration explains what to remove and how to refit it.
  1. Keep one group chat. Add every driver and chauffeur, plus one person from each family who can answer "where are you?" without asking the bride.

Fuel, tolls and kilometres

  1. Self-drive cars include 120 km a day, which covers a typical Klang Valley wedding. A family in another state needs extra or unlimited mileage, added when you book. Each car goes back with the same fuel level it left with, so someone fills them before return. A Touch 'n Go card, loaded with RM 50 to RM 500, can come with each car.
  1. Have the cars delivered together. Delivery is free within 10 km of the Petaling Jaya showroom and RM 100 elsewhere in the Klang Valley, so ask for every car to come to one address CHECK: delivery lead time, and can several cars be delivered together the evening before?.

After the dinner

  1. Don't let the convoy drivers drink. If guests are drinking at the dinner, Grandpride's Drink Don't Drive™ chauffeurs take them home. For the couple's ride to the airport afterwards, our KLIA transfer guide covers the flat fares.

For a Chinese wedding, where the convoy forms around fetching the bride, our Chinese wedding car guide sets out the morning in order. For an engagement, where the convoy carries trays rather than a bride, see our guide to cars for a majlis tunang.
