A chauffeur for an event in Kuala Lumpur, worked through one gala night

Book a chauffeur for an event by the hour, not as two one-way trips, unless you know exactly when it ends. By the hour, the car drops you at the door, waits through the evening and takes you home whenever you walk out. Grandpride's rates start at RM 150 an hour in a Toyota Vellfire, with a three-hour minimum, and any hour that starts from 7 pm costs 30% more. A gala evening usually needs five or six hours door to door.

One gala night, hour by hour

Say the invitation reads 7 pm for 7.30 pm, at a hotel in the city.

  • 5.30 pm. The car collects you. That leaves room for the traffic into town and the queue of cars at the hotel entrance. This hour starts before 7 pm, so it's at the normal rate.
  • 6.30 pm. Still the normal rate. You're probably arriving now.
  • 7.30 pm to 10.30 pm. Dinner, speeches, awards. Four hours start in the evening band, so each is the hourly rate plus 30%. The chauffeur waits with the car; you can step out for a call or move on to a second venue.
  • 11.30 pm. Home.

That's six hours: two at the normal rate and four at 1.3 times, so 7.2 times the hourly rate. In the BMW i7 that's 7.2 times RM 600. The booking page shows the full price before you reserve.

If the speeches run on and you leave after 11 pm, any hour that starts from 11 pm is at the overnight rate, plus 50%. Book a little more time than you expect rather than less CHECK: can a booking be extended on the night, and at what rate. Part-hours are charged as part-hours, never rounded up.

When two one-way trips make more sense

A drop-off and a separate pickup are each priced on distance. That can work for a long event with a fixed end time, such as a conference dinner across town. The catch is that nobody is waiting: if the end time slips, so does your pickup. When in doubt, book by the hour, and you won't be standing on the kerb in evening dress.

Which car to arrive in

Grandpride's own pages name one more car for this job: the GrandRide Limousine, in white or black, for moving a guest of honour with room to spare in the back CHECK: which car the GrandRide Limousine is, and how it is priced and booked. Our guide to the limousine service in KL explains the different kinds of limousine, and luxury chauffeur cars compared sets the six chauffeur cars side by side.

Several cars, one event

A company dinner often needs separate cars for speakers, guests of honour and visiting directors, each with their own pickup.

Book each car for its passenger: choose "I'm booking for someone else" and add the passenger's name and contact number, and their chauffeur contacts them directly on the day. If a guest flies in that afternoon, add the flight number and ask for a nameboard at arrivals, and the car can go straight from KLIA to the hotel. Keep one list of every car, passenger and pickup time for whoever is running the evening CHECK: can several cars be booked together under one order and one invoice, and is there a coordinator on the night.

Online bookings need at least two days' notice. For several cars on one night, book well before that. For a programme over several days, see our guide to corporate car rental and chauffeurs in KL.

Getting guests home

If you're the host, Grandpride's Drink Don't Drive service means its chauffeurs take your guests home when it's over, so nobody has to decide who drives. For a wedding dinner or a company celebration, one or two seven-seat MPVs booked for the end of the night, with drop-offs grouped by area, usually covers it.

When the event takes the whole day

Rehearsal in the morning, ceremony in the afternoon, dinner at night. A chauffeur can be booked for up to 23 hours, and anything over 12 hours is 10% off the total.

From 8 am to midnight is 16 hours: 11 at the normal rate (the hours starting 8 am to 6 pm), four evening hours (starting 7 pm to 10 pm) and one overnight hour (starting 11 pm). That's 11 + 5.2 + 1.5, or 17.7 times the hourly rate, and 15.93 times after the 10% off. Our guide to chauffeur prices per hour has more worked examples.

If a guest needs protection

A bodyguard can be booked alongside the car, at RM 440 for an 8-hour day. Our guide to event security vs a bodyguard explains which one your evening needs. Everything else starts on the chauffeur page.
